Compensation: $120,000 - $150,000 per year
A private family estate in Westchester County, NY (85 acres) is seeking an experienced, hands-on, and highly capable Property Manager to oversee the upkeep, maintenance, operations, staffing, compliance, and security of the property. This is a full-time, year-round position with optional on-site housing and requires a flexible 5-day schedule, including weekends and occasional evenings when the family is in residence.
The Property Manager will serve as the single point of contact for all property related matters. Core responsibilities include daily operations, staff management, construction oversight, and full compliance with New York State labor laws, OSHA safety standards, and family privacy and security protocols. The ideal candidate is detail-oriented, proactive, technically skilled, and highly professional-with strong HR and compliance experience, exceptional leadership, and a 'no task too big or too small' approach.
Responsibilities/Duties
Estate & Facilities Management
- Oversee day-to-day operations and upkeep of the 85-acre estate.
- Act as the primary liaison to the principals and family for all household matters.
- Communicate regularly with the Director of Properties and Owner/family.
- Supervise and coordinate on-site staff (4-5 members) and all external vendors and trades.
- Manage vendors across all disciplines: landscaping, HVAC, electrical, plumbing, irrigation, lighting, general contracting, A/V, etc.
- Oversee and assist with repairs, preventive maintenance, and system monitoring.
- Conduct regular walkthroughs to identify issues and ensure smooth operations.
- Manage seasonal needs (winterization, storm readiness, landscape transitions).
- Oversee residential construction and renovation projects.
- Maintain inventory, procurement, records, and vendor directories.
- Submit weekly reports summarizing property status, project progress, staffing, and vendor activities.
- With input from landscape designer, landscape gardeners, ecological sustainability team and client, plan, supervise and assist in nature-based/chemical-free land care program, including:
- Observe and report on lawn and plant health
- Invasives management in coordination with ecological team
- Coordinate and supervise installation and maintenance of established and new plantings
- Coordinate and supervise property-wide composting and recycling program.
- Work with design team on GIS records system to maintain records of plants installed, work performed, garden successes and failures from year to year to share with eco-team for planning and improved efficiency and successes.
Human Resources, Safety & Compliance
- Hire, train, manage, and evaluate staff.
- Ensure full compliance with New York State labor laws, including wage/hour rules, paid leave laws, and mandatory workplace training.
- Enforce OSHA safety protocols, including PPE usage, emergency procedures, and job site safety.
- Maintain HR records, timekeeping, and coordinate with owner’s home office
- Manage employee relations with professionalism, confidentiality, and legal compliance.
- Ensure all contractors meet documentation, licensing, and insurance requirements.
Security & Privacy Oversight
- Maintain property safety and uphold family privacy and security protocols at all times.
- Conduct quarterly reviews of safety and security procedures to evaluate risk and implement improvements.
- Oversee maintenance and upgrades of security systems: surveillance, access control, alarms, gates, etc.
- Ensure all staff and vendors follow strict confidentiality and privacy protocols on-site.
Qualifications/Requirements
- Minimum 5 years of experience managing luxury homes or private estates.
- Strong leadership, communication, and personnel management skills.
- Working knowledge of New York State labor law and OSHA safety compliance.
- Proven experience managing safety, privacy, and residential security standards.
- Technically proficient with systems such as HVAC, electrical, plumbing, A/V, irrigation, pools, lighting, and security.
- Comfortable with both Mac & PC platforms and basic tech troubleshooting.
- Budgeting, vendor management, and project oversight experience.
- Discretion and sound judgment when handling confidential matters.
- Light mechanical or carpentry skills are a plus.
- Valid driver's license with a clean driving record (car not required).
- Authorized to work in the United States.
- Flexible schedule, with willingness to work weekends, holidays, and evenings as needed.
