Start Date: 8/1/2023 Compensation: $45,000 – 50,000
Queens Botanical Garden’s Membership program is currently comprised of over 1,200 households and offers benefits such as free admission, discounted access to QBG programs, and invitations to Members-Exclusive events. The Membership Coordinator will oversee all aspects of QBG’s membership program, including solicitation, gift entry, membership card processing, troubleshooting, and stewardship of active and prospective members. They will collaborate with Garden leadership to design and implement strategies to grow the number of member households and seek to inspire members to become donors. This is a largely operations-focused role that also interfaces with members and the general public on a regular basis; therefore, the Coordinator will possess administrative, office, and customer service skills. As a member of the Development Department, the Membership Coordinator will provide general support for the department’s ongoing work, especially special event planning. The Membership Coordinator reports to the Assistant Director of Development.
Responsibilities/Duties
- Managing the correspondence process including writing and producing membership cards and letters, confirmation and thank you letters
- Coordinating on-site membership registrations and renewals
- Conducting follow up phone calls, correspondence, and other strategies to retain members and renew newly lapsed members
- Managing the accurate recording of all donor gifts and membership dues
- Working with the Admissions team to update the POS (Point of Sale) member information and informing team about any changes to Membership benefits; troubleshooting member issues
- Collaborating with colleagues to promote Membership through owned digital channels and onsite at the Garden
- Creating and executing approximately four annual Membership events
- Assisting with maintenance and updating of the Garden’s donor database, DonorPerfect
- Creating content about membership for QBG’s website, eblasts and newsletter as requested
- Assisting with the management and expansion of QBG’s mailing and email lists
- Providing support for the general operations of the Development Department, including fundraising events
Additional Responsibilities:
- Carrying out in-house mailings to segments of the Garden’s list
- Assisting with development-related meetings
- Being involved with institution-wide initiatives as is appropriate
- May supervise assistant, interns, or volunteers
- Represent the Garden on occasion at community events to promote membership
Qualifications/Requirements
- Some college experience; Associate or Bachelor’s degree preferred
- Related work or education experience in membership, office work, and/or visitor/customer service
- Excellent attention to detail; enthusiasm for accuracy
- Excellent writing, communication, organizational and people skills
- Ease with technology and skill with word processing, spreadsheet and database programs (Microsoft Office – Word + Excel; DonorPerfect; and CounterPoint SQL); willingness and ability to learn new systems
- Keen time management skills; enthusiasm for meeting deadlines
- Fluency or proficiency in Chinese strongly preferred
- Ability to work independently and as part of a team
- Availability for occasional evening and weekend work
Additional Information
This is a full-time, non-exempt position with weekly on-site work, and some flexibility to work remotely. Schedule is generally Monday through Friday, with occasional weekend work.
